How sharing works: spaces, activities & access levels

This guide explains how sharing works in Cesura and helps you choose the right method. Everything you share is an activity (a simulation, a content activity, or a Personal Simulation) that lives inside a space — your workspace. How learners reach an activity, and whether they need an account, is controlled by the space's access level.

Spaces, activities, and members

A space is the workspace that holds your content and learners. Inside a space you'll find:

  • Content — your activities: simulations, content activities (text, video and quizzes), and Personal Simulations, where each learner brings a scenario of their own.
  • Members — people you've added to the space, with roles (Learner, Instructor, Admin).
  • Groups — optional sub-groups (e.g. cohorts or classes) you can target with their own links.

You manage all of this from the space's tabs: Content, Members, Groups, Settings, and Access & invitations.

Access levels — who can take part

A space's Access Level decides whether learners need to sign in. You set it when creating or editing a space.

Access level What it means
Anonymous (no sign-in) Anyone with the link can take part without signing in — no account needed. A new participant is created on every run, so results aren't linked to a specific person. Best for open practice, demos, and one-off sharing.
LMS — SCORM / LTI 1.3 For delivering the space through a Learning Management System with SCORM or LTI 1.3. Learners launch from inside their LMS without a Cesura account, with their identity supplied by the LMS. They can open the activities only from the LMS (see below).
Registered participants (sign-in required) Anyone with the link can take part, but must sign in to an existing Cesura account or create one. Results are tied to each person, so they can track their progress across runs.
Space members only Only people you've added as members can access it. They sign in with their account — there's no self-registration. Best for closed cohorts, classes, and teams.

What the LMS access level hides

An activity in an LMS space cannot be opened from a direct Cesura link. A learner who tries sees LMS Launch Required. To keep sharing consistent, Cesura hides the other ways in:

  • The Link panel hides the participant link, the QR code, and the access-code controls.
  • The Embedding panel hides the embed code.
  • Safe Exam Browser only delivery is not available.

SCORM export works only in an LMS space. Space instructors and admins can still preview the activities inside Cesura.

💡 The access level applies to every sharing method below. For example, a link or embed for an Anonymous space lets learners start right away; the same link for a Space members only space asks them to sign in first.

Create a space from your Library

Your simulations live in the Library. To share one, you first put it in a space — which takes just a couple of clicks:

  1. Open the Library and find your simulation.
  2. Click the Share with a group icon on the simulation’s card.
  3. Choose Create New, give the space a Name, and pick an Access Level (see above) — or choose Add to Existing to drop it into a space you already have.
  4. Click Create Space. Cesura opens the new space with your simulation inside, ready to share.

From there, use any of the sharing methods below.

Removing an activity from a space

Deleting an activity from a space is not the same as deleting the simulation. The simulation itself stays in your Library, and other spaces that use it are unaffected — but everything this space collected for it is permanently deleted: participant runs, transcripts, form answers and quiz results. That cannot be undone, so export anything you need first (see Exporting your data to Excel). Cesura spells this out and asks you to confirm.

To take an activity out of circulation without losing its results, move it to a space learners cannot reach, or remove learners' access to the space instead.

“Runs blocked” on a space

A space carries an owner, and that owner’s budget is what pays for its runs. If the owner does not belong to the space’s organization — usually because the space was moved between organizations, or the owner left — no budget can pay, and every run in that space is refused.

Until recently the learner was the only person who found out. Now anyone who can edit the space sees a Runs blocked chip on the space card and a banner on the space itself: “Runs in this space are blocked.”

To fix it, open the space’s edit form and transfer ownership to a member of the space’s own organization, using the member picker. An organization admin can do this for any space in their organization — no need to wait for Cesura staff.

Ways to share an activity

Pick the method that fits how your learners will reach the activity:

Method Best for
Link & QR code Sending a single activity by email/chat, or putting a QR code on a slide or handout.
Embed in a web page Placing the activity directly inside your own website or intranet (with optional parameters to tag results).
Live Dashboard Running a live, in-the-room session — show a join QR/code and watch progress in real time.
Share a whole space Giving learners access to all the activities in a space at once, via one invite link.
LTI 1.3 A deep, managed connection to your LMS (deep linking, automatic grade passback, roster sync).
SCORM Exporting an activity as a package you upload to your LMS.
Safe Exam Browser Exams and screenings: learners must run the activity inside Safe Exam Browser, which locks down their computer. Set it under Delivery on the activity's Link tab. Not available in LMS spaces.

Each method has its own article in this collection. If you're delivering through an LMS, see Setting up an LTI 1.3 integration with your LMS or Exporting a simulation as a SCORM package for your LMS; for an exam, see Run an exam in Safe Exam Browser; for everything else, start with Share a simulation with a link & QR code.
