Licenses: managing Creator, Instructor & Viewer roles

Licenses control how many members of your organization can hold each role. Cesura sets the quantities for your organization. You can see them on Organization Management → Licenses, which appears for organizations billed with usage banks. Licenses gate access; they are independent of credit consumption (for credits, see the billing overview).

The three license tiers

License What the member can do
Creator Author simulations and spaces, and run them.
Instructor Create and manage spaces, run simulations and view results — but not create simulations. On the Users page this role is called Teacher.
Viewer Run and participate only. On the Users page this role is called User.

The Licenses page

One row per tier with columns License · Allocated · Used · Available · Members. Allocated is the quantity Cesura has set for your organization, Used is how many active members hold the role, and Members lists them. The page is read-only for organization administrators: to change a quantity, contact your account manager or Cesura support.

Over capacity

If a role has more members than its license quantity, the tier shows an "Over capacity by N" badge. Existing members keep their access, but adding new members of that role is blocked until Cesura raises the quantity or you remove members.

Deactivating and reactivating members

You deactivate a member on Organization Management → Users: edit the member and set Status to Inactive, or use Remove from organization, which also hands their spaces, templates and forms to someone you choose. Neither deletes the account.

  • Deactivation signs the member out at once. Their open sessions and API keys stop working immediately, on every device.
  • A deactivated member does not hold a seat. They are not counted under Used and are not listed under Members, so their seat is free for someone else.
  • Reactivating a member needs a free seat in their role. So does changing a member's role: the new role must have a seat available. If it doesn't, free a seat or ask Cesura to raise the quantity first.
  • A deactivated owner's spaces stop accepting runs. Runs in a space bill to its owner, so learners see "This simulation is not currently active." until you reactivate the owner or give the space a new owner. To change the owner, open the space's Members tab and click Change owner. Remove from organization handles this for you by transferring the spaces.

To deactivate or reactivate many members at once, import a spreadsheet. See Import and export organization members from a spreadsheet.

Common errors

  • "No available seats for this role. Contact Cesura support to increase your seat allocation." — the tier is fully used. Free a seat, or ask Cesura to raise the quantity. You see this when you add, reactivate or change the role of a member.
  • "You need a Creator license to do this. Ask your organization admin to assign you one." — the member's role doesn't include that permission; assign them a higher role if a seat is available.
  • "License changes are temporarily unavailable. Try again in a moment." — another change that takes a seat in the same role (for example, a running import) was in progress, or the check was briefly unavailable. Wait a few seconds and try again.
  • If Cesura hasn't set a quantity for a role yet, members can't be added to that role. Contact your account manager or Cesura support.
