Share a whole space with participants

Instead of sharing one activity at a time, you can give learners access to an entire space — all of its activities — with a single invite link. This is the best option when you want participants to work through several activities in one place.

Before you start: create the Space

A space is the workspace that holds your activities and your participants. The quickest way to create one is straight from a simulation in your Library:

  1. Open the Library and find a simulation you want to include.
  2. Click the Share with a group icon on the simulation’s card.
  3. Keep Create New selected, give the space a Name, and choose the Access Level that fits your audience (you can change it later).
  4. Click Create Space. Your new space opens with that simulation already inside — add more activities from the Content tab whenever you like.

Want to add a simulation to a space you already have? Open Share with a group from the Library and choose Add to Existing.

Turn on the invite link

  1. Open the space and go to the Access & invitations tab.
  2. Under Invite participants, turn on Enable Invite Link.
  3. Click Copy Invite Link (you'll see Invite link copied) and send it to your learners.

When someone opens the link, they join the space and can access its activities. Whether they need to sign in depends on the space's Access Level (see How sharing works):

  • Anonymous (no sign-in) — they join and start immediately, no account.
  • Registered participants (sign-in required) — they sign in or create an account first.
  • Space members only — the invite link won't grant access; add people on the Members tab instead.

Add members from a spreadsheet

To add many people at once, click Import on the Members tab and upload an Excel or CSV file. You can set each person’s role and group, and choose whether to email their invitations now or later. See Import members into a space from a spreadsheet.

Share the QR code

On the same tab, click Download QR to save the invite link as a QR image — handy for a slide, handout, or poster. Learners scan it to join the space.

The link is permanent — and how to rotate it

The invite link is permanent and reusable, so you can share it once and keep using it. If you ever need a fresh one, click Revoke & create new link.

⚠️ What revoking does: "This invalidates the current link and creates a new one. People who already joined keep their access. Anyone who has the old link but hasn't joined yet won't be able to join." In other words, regenerating only blocks people who haven't joined yet — it doesn't remove anyone who already joined.

Optional: require activities in order

The Access & invitations tab also has Require sequential completion — when on, learners must finish activities in order, and the next one stays locked until the previous is complete. Turn it on if your space is a step-by-step path rather than a free-choice menu.

Sharing a space vs. a single activity

  • Share a whole space (this article) — give access to all activities at once.
  • Share one activity — use the activity's link, QR, embed, or Live Dashboard. See Share a simulation with a link & QR code.

What learners see when they come back

On the space page, a finished activity shows Completed and two buttons:

  • View Report opens the learner’s last report.
  • Start begins a new attempt. Each new attempt uses credits like any other run. If attempts are limited, Start stays on the card after the last allowed attempt, but pressing it shows that the learner has reached the maximum number of attempts, and no run starts.

An attempt the learner left unfinished resumes where they stopped. A new attempt starts only from the card in the space. A share link, an LMS relaunch, or a SCORM package opens the summary of the finished run instead.

When a learner’s access runs out

If a member’s access reaches its expiration date, or you disable the member on the Members tab, the change applies at once and everywhere: the space page, shared activity links, and LMS and SCORM launches. Finishing a run does not renew expired access. The learner sees one of these messages:

  • Access expired: “Your access to this space has expired. Ask your instructor to renew it.”
  • Access turned off: “Your access to this space has been turned off. Contact your instructor if you think this is a mistake.”

To let them back in, renew or re-enable their membership on the Members tab. Member counts include only members whose access is live.

Change the space owner

Every space has one owner, shown as Space owner in the space settings and at the top of the Members tab. The owner always has full access, and every run in the space is billed to the owner. When you change the owner, billing for new runs moves to the new owner.

To hand the space to anyone in the organization:

  1. Open the space and go to the Members tab.
  2. On the owner card, click Change owner.
  3. In Change the space owner, search for the person by name or email in New owner. They do not have to be a member of the space yet.
  4. Click Make owner, then confirm Hand this space to another owner?

To hand the space to someone who is already a member, click the Make owner icon in that member’s row on the Members tab, and confirm Hand this space to another owner? The icon appears only on active members with the Instructor or Admin role.

The previous owner stays on as an admin member and keeps full access.

⚠️ Who can do this: only an administrator of the organization that owns the space can change its owner. Other people do not see Change owner or Make owner.

“Runs blocked” on the space

A space is paid for by its owner. If the owner does not belong to the space’s organization — for example, the space was moved, or the owner left — nothing can pay, and every run is refused. Anyone who can edit the space sees a Runs blocked chip and a banner that explains why.

A space whose owner was deactivated also stops accepting runs. Learners are told the simulation is not currently active.

To fix either case, an organization admin changes the owner to an active member of the space’s organization, as described in Change the space owner. You don’t need to contact Cesura support.

Troubleshooting

Symptom Likely cause & fix
The invite link doesn't let people in If the space is Space members only, the invite link won't grant access — add people on the Members tab, or change the access level.
I regenerated the link and someone lost access That shouldn't happen — people who already joined keep access. Only those who hadn't joined yet are affected. Send them the new link.
A learner sees “Access expired” or “Access turned off” Their membership ended or was disabled. Renew or re-enable it on the Members tab.
I can’t change the space owner Only an administrator of the organization that owns the space can. Ask one of them.
I don't see the Access & invitations tab You need an admin/editor role in the space. Ask the space owner.
